OVERVIEW OF THE FUNCTIONS OF THE POST

Background:

UNESCO is the United Nations Specialized Agency with a mandate in education from lifelong learning perspectives and is committed to addressing inequalities and exclusions affecting the most vulnerable populations, including those in emergencies, conflicts, and crises-affected contexts.

UNESCO works to protect the right to education of the Ukrainian people. In full alignment with Ukraine’s Recovery Plan and the United Nations Transitional Framework, the education component of UNESCO’s emergency assistance programme for Ukraine focuses on four pillars: (1) Provision of hardware, software, and teacher training to support hybrid and distance teaching and learning; (2) Development and maintenance of digital education platforms and contents; (3) Support to students and teachers in Ukraine and those displaced in neighboring countries; and (4) Support to national education systems in Ukraine and in neighboring countries.

Scope of the assignment:

Under the overall authority of the Assistant Director-General for Education (ADG/ED), the guidance of the Director of the Division for Education 2030 (DIR/E30), the supervision of Chief of the Section of Migration, Displacement, Emergencies Education Section (ED/E30/EME) and direct supervision of the Ukraine Desk Liaison Officer, the incumbent will serve as a Programme Assistant in close coordination and collaboration with UNESCO’s Ukraine Team Lead in Mental Health and Psychosocial Support (MHPSS) and National Project Officer in MHPSS, within the framework of the Education component of UNESCO’s Emergency Assistance Programme and carry out the following broad-based tasks:

Duties and responsibilities:

  • Provide administrative and logistical support to programme activities in Ukraine.
  • Draft and assist in preparing background documents, meeting agendas, invitations, correspondence, minutes, forms, briefing notes, presentations, and other relevant documents in English and Ukrainian.
  • Provide administrative and logistical support in organizing meetings, conferences, missions, and other relevant programme activities.
  • Track and maintain files, records, and correspondence in a systematized manner and in close coordination with UNESCO Headquarters and UNESCO Desk in Ukraine.
  • Informally translate documents from either Ukrainian/English into the other language and assist with interpretation in relevant meetings.
  • Develop and maintain project databases and assist with the dissemination of key information with UNESCO’s partners.
  • Undertake other tasks as deemed relevant by the direct supervisor and/or UNESCO Education management.

REQUIRED QUALIFICATIONS

Academic qualifications

  • Completed secondary, technical or vocational education.

Professional experience

  • A Minimum of five (5) years of work experience in providing administrative support to programmes and projects teams

Skills and competencies

  • Very good knowledge of office software (Outlook, Word, Excel, PowerPoint, etc.).
  • Ability to manage information objectively, accurately and confidentially.
  • Flexibility and adaptability to work schedules and priorities according to workload, emergencies and deadlines.
  • Ability to design, work and execute tasks independently with thoroughness, care and method.
  • Ability to work with and within multicultural teams.
  • Excellent interpersonal skills and the ability to work effectively in a team and in a multicultural environment.
  • Good knowledge of IT skills (Microsoft Word, Excel, PowerPoint, Intranet, Internet, etc.).

Languages

  • Excellent knowledge (written and spoken) of English and Ukrainian

DESIRABLE QUALIFICATIONS

  • Relevant professional experience in UN System or at the international level.
