Organizational structure

This position is located within the regional IT unit of the ILO Regional Office for Africa (BR-Africa).

Main mission

As a member of the team, the incumbent provides a range of user support services, with an eye toward effectiveness, efficiency and customer service. The work covers end user support, Active Directory (AD) object management, office hardware management and maintenance, shared drive data organization and maintenance, software deployment, monitoring and support for local networks. The incumbent carries out his/her daily tasks in a fully operational manner and resolves various recurring IT problems which require correct application of the rules, regulatory provisions, policies, procedures and directives in force in the IT field.

The incumbent provides support to senior IT staff within the Office. He/she works under the supervision of the regional IT systems manager. This supervision is focused on respecting deadlines in the execution of processes and on the quality of results. The incumbent has a moderate degree of autonomy in his/her work. His work is subject to review to verify the application of the Office’s IT standards. For unusual problems, the incumbent must seek and comply with technical instructions from higher-level IT staff in the office.

Professional relationships

Internal contacts take place with relevant staff and managers in field offices, project offices, regional office and headquarters; they aim to provide support and exchange information on procedures and issues related to the provision of IT services, in compliance with applicable standards. The incumbent liaises regularly with the Senior IT Assistant/IT Administrator in the office.

External contacts take place primarily with IT service providers and aim to coordinate IT services with counterparts in United Nations agencies and other international organizations in order to obtain or provide information on services or supplies and on the related costs.

Essential Functions and Responsibilities

1. Perform a set of IT support functions related to hardware and software deployment, AD object management, local area network support, user support and ensure compliance with applicable standards. 2. Resolve problems related to standard and office applications (on site and by remote assistance) while respecting hierarchical levels. Provide basic support and training to end users on how to resolve common IT issues and contribute to the preparation of reference materials as needed. 3. Based on information provided by human resources staff and/or responsible staff within the office, manage user accounts (creation, updating and closure), in accordance with the contractual status of civil servants. Store and update information about each user in the AD and regularly check its accuracy. Review IT objects in the AD and eliminate unnecessary objects to ensure license compliance. 4. Install, replace and maintain computer hardware and software, including desktop and laptop computers, printers, telephones and WiFi access points. Deploy the most recent image on official ILO PCs and ensure that they are equipped with official antivirus software. Clean PCs of viruses and spyware on instructions from headquarters. Update the PC inventory in accordance with headquarters recommendations. Deploy and configure official tablets and mobile phones. Configure PCs to run the Organization’s Enterprise Resource Planning (ERP) and other shared applications. 5. Grant access rights to applications and file systems through groups, according to naming conventions and standards. Clean up file systems. Inform officials of file and email quotas and help them comply. Help users eliminate unnecessary personal data files and duplicates. Back up data stored on non-centralized infrastructure, in accordance with applicable standards. 6. Establish tickets to report technical issues that cannot be resolved locally and communicate them to the Senior IT Assistant/IT Administrator in the office. 7. Deploy software through System Center Configuration Manager (SCCM). Eliminate inappropriate software. Eliminate and replace software that has become obsolete. 8. Keep informed of relevant rules, regulations, policies, procedures, guidelines and processes. Inform and advise staff, emphasizing the need to respect IT standards. Participate in IT meetings and workshops. 9. Provide other IT support services, including installing videoconferencing equipment and providing logistics required for the deployment of IT equipment required for meetings. 10. Minimum requirements

Formation

The incumbent must have completed secondary education, followed by training in computer science or an equivalent field.

Experience

At least five years of experience in various IT support functions.

LANGUAGES

Excellent command of French. Working knowledge of English will be an asset.

Knowledge and skills

Knowledge of IT security principles and practices. Knowledge of operating systems, shared applications, networks and ITIL processes. Excellent knowledge of PC software (word processing software, spreadsheets and presentation software) such as Microsoft Office.
