About the job
The ICRC Protection Department is recruiting an Administrative Assistant based in its Kyiv office. In close cooperation with the team members and line managers, the Administrative Assistant will mainly be responsible for the day-to-day administrative running of the Protection department. S/he provides administrative and logistical support for the implementation of protection programs in the Kyiv Delegation. S/he contributes to ensuring smooth and efficient operations, adequate reporting of activities, information management and support in simple financial accountability documents to ensure the integration of the ICRC protection programs/objectives set within the delegation’s ambitions.

Your Tasks and Responsibilities
The Administrative Assistant`s main tasks and responsibilities are the following:
- Creates, updates and maintains paper or electronic files up-to-date, using specialized tools and databases.
- Follow-up on specific processes.
- Drafts and finalizes correspondence, bordereaux, internal presentations, meeting minutes and other documents; shares information among users.
- Updates planning, tables, charts and meeting schedules and other tools and ensures invoices are followed up on.
- Prepares for meetings by setting up rooms and materials, including technical set-up for conference calls, presentations and video conferences.
- Carries out secretarial tasks such as making photocopies, destroying documents and managing stationary stocks;
- Applies information management procedures and ensures compliance with procedures.
- Manages petty cash as per ICRC accounting/safety procedures

About you
To be successful as an Administrative Assistant in the Protection Department, you should possess the following qualifications and experiences and have the following characteristics:
- Ukrainian citizenship or permanent residence permit in Ukraine
- High school diploma or equivalent training
- Two years’ experience in a secretarial position
- Good and rigorous organizational skills
- Previous events organization is an asset
- Good oral and written communication skills in Ukrainian and English
- Good computer knowledge Microsoft Office Suite, SharePoint, Team Space, Outlook
- Self-motivated with a strong commitment to teamwork and humanitarian principles
- Flexible, enthusiastic, and willing to learn
- Ability to work independently, as well as effectively under supervision
- Confidence in managing projects and staff
- Ability to organize and prioritize multiple tasks
- Ability to work within a diverse team and establish and maintain good working relations in a multi-ethnic, multi-cultural, and multi-disciplinary environment
